Privacy and Information Policy
In this section “our website” or “the site” refers to the website and related apps operated by www.thezenshed.com.
Our privacy policy should be read in conjunction with our General Terms and Conditions.
Personal information we collect, why we collect it and how will be use it?
Enquiries from non students – message, name and email address – received via our website or by email – are held for up to a year, and used to answer queries and follow up.
Class Attendance registers – to sign up to a class we ask you to provide contact information comprising your name, an e-mail and postal address, a contact number for you and a third-party contact number in case of emergency – this is used for class management, and held for at least seven years for insurance purposes.
Mailing list – name and email address - populated by people registering on our website, or by opting in on an enquiry or registration form. Anyone opting in will be added to our mailing list so they can be kept in touch with studio information, class information and other services offered by The Zen Shed. Opt out links are including in all marketing emails.
Registration and Health forms from students - name, contact details and health information – completed in the studio before your first class - used for class management, and held for at least seven years for insurance purposes. It is entirely your choice whether or not to provide this information however please refer to our General Terms and Conditions for health risks related to practicing yoga, other classes and your responsibilities in connection with those risks.
Notes on classes and sessions - data collected in class - used for class management, and held for at least seven years for insurance purposes.
Emails – sent from students and non students. Important messages are saved in our filing system for up to seven years, otherwise emails retained for up to two years.
Payment data, excluding card information which we do not receive at any time. Received via accounting and banking systems, and saved for at least seven years for accounting and tax obligations.
Website cookies set automatically by our software. We do not knowingly access these or pass to third parties. For more information on cookies please see Cookies section below.
Our website contains links to MindBodyOnline (“MB”) in the United States of America who provide our booking and studio management software. Your information is automatically shared with MB, which has its own security and privacy policies which are not within our control. Details of its policies can be found on the MindBodyOnline website. Except for this or where required by law, we do not share data with third parties or sell contact lists.
Information held by The Zen Shed is accessed by staff working for The Zen Shed, and contractors working on The Zen Shed’s IT, and may be shared, on a need to know basis, with other teachers at The Zen Shed, eg if you are attending their class, or they are covering a class.

We may from time to time ask you to check and update your personal information.
You have the right to inform us in writing (The Zen Shed, 54 New Street, Worcester, WR1 2DL) or by email (thezenshed@gmail.com) if you no longer want us to hold your data. We will make every effort to remove your personal data other than where we are required to keep this for accounting, tax, insurance or legal reasons. It is not possible for us to delete CCTV footage from our security cameras but this is only retained for 30 days from the date of recording.
Images and Photographs
As stated in our liability waiver, we reserve the right to photograph or film during our classes and to use these images for our website and marketing purposes. By signing our liability waiver you agree to these terms and should you not wish to be photographed or filmed, it is your responsibility to make yourself known. We do not use the personal details or names of any client in a photograph on our website, printed publications and social media unless express permission is granted.
How do we secure your data?
The use of data provided to us is governed by the EU General Data Protection Regulation (GDPR).
Any payment transactions carried out by us and/or our chosen third-party provider of payment processing services will be encrypted. We employ SSL cryptographic protocol and security technology for securing communications on the internet and authenticating the communicating parties. We recommend that you use a browser which enables SSL and that you keep it updated.
Where you have a password that gives you access certain parts of our website, you are responsible for keeping this password confidential. We ask you not to share your password with anyone. We reserve the right to restrict or deny access to our website of any user at our absolute discretion, regardless of whether they have a valid password.
Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website. Any such transmission is at your own risk, and we will not be liable for any losses which arise due to security breaches. Once we have received your information, we will use procedures and security features to try to prevent unauthorised access.
How we use Cookies?
During your visit to our website, we may use “cookies” which are stored on your hard drive by our browser to monitor the use of our website. Cookies are small text files which we use to identify how visitors arrive at our website and the subsequent path they take through it. This helps us to improve our service to you. Once you close your web browser, we do not use the information that is collected by this method.
